Job Title: Commercial Medical Assistant

Location: Remote

Reports To: Director of Clinical Operations


Position Summary

The Commercial Medical Assistant is responsible for coordinating and supporting medical escort and commercial patient transport operations. This role assists with arranging safe and efficient transportation for patients traveling on commercial airlines, ensuring all medical, logistical, and regulatory requirements are met. The Commercial Medical Assistant serves as a liaison between patients, families, healthcare facilities, airline personnel, and medical transport teams.


Medical Assistant

Essential Duties and Responsibilities

Patient Transport Coordination
  • Coordinate domestic and international commercial medical transports.

  • Assist in arranging flights, ground transportation, lodging, and travel logistics for patients and medical escorts.

  • Ensure all travel plans align with patient medical needs and physician recommendations.

  • Verify airline medical clearance requirements and special accommodations.


Clinical & Administrative Support

· Collect and organize patient medical records, physician notes, and transport documentation.

· Confirm fitness-for-travel clearances and required medical equipment needs.

· Assist with medication, oxygen, stretcher, wheelchair, or mobility arrangements as needed.

· Maintain accurate and confidential patient records in accordance with HIPAA and company standards.


Communication & Customer Service
  • Serve as the primary point of contact for patients, family members, hospitals, case managers, and referral sources.

  • Provide timely updates regarding transport schedules and changes.

  • Deliver compassionate customer service during stressful or urgent situations.


Operational Support
  • Coordinate with medical escorts, nurses, paramedics, and physicians assigned to transports.

  • Monitor active transports and communicate delays, cancellations, or itinerary changes.

  • Assist with after-hours and urgent transport requests when required.

  • Support billing and documentation processes related to completed transports.


Qualifications


Education
  • Valid Registered Nurse license and/or valid State Paramedic license.


Experience
  • Previous experience in healthcare coordination, medical transport, travel logistics, or customer service preferred.

  • Experience working in a fast-paced medical or aviation environment is a plus.


Knowledge, Skills, and Abilities
  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Ability to remain calm and professional under pressure.

  • Knowledge of HIPAA and patient confidentiality practices.

  • Proficiency with Microsoft Office and scheduling software.

  • Availability for trips involving multiple days in a row.

  • Ability to work flexible schedules, including nights, weekends, and holidays if needed.


Physical Requirements
  • Prolonged periods of sitting, computer work, and phone communication.

  • Occasional lifting of luggage and objects up to 25 lbs.

  • Ability to travel occasionally if operational needs require.
